OOKKEEPING AND ACCOUNTING SPECIALIST

We are seeking a detailoriented and highly organized Bookkeeping and Accounting Specialist to join our team. The ideal candidate will be responsible for managing all aspects of our companys financial operations, ensuring accuracy, compliance, and timeliness in reporting. This role requires expertise in QuickBooks Online QBO and a strong understanding of job costing, payroll, accounts payable, and financial tracking. Additionally, this role includes managing contractor compliance with necessary insurance and documentation requirements.
Key Responsibilities
Weekly Bookkeeping in QuickBooks Online QBO
Maintain accurate financial records by entering and reconciling all transactions in QBO.
Ensure all accounts are up to date and balanced.
Weekly Job Costing
Track and report job costs within QuickBooks Projects.
Provide insights on project profitability and budget adherence.
Weekly Contractor Pay
Accurately calculate and process payments to contractors.
Maintain proper records of contractor payments for tax and compliance purposes.
Weekly Payroll Management
Process payroll for employees, ensuring accuracy and timeliness.
Handle payroll taxes, deductions, and compliance requirements.
Accounts Payable
Manage all vendor invoices and ensure timely payments.
Reconcile statements and resolve any discrepancies with vendors.
Internal Reporting
Update and maintain internal reporting tools for sales, marketing tracking, and production tracking.
Provide clear and actionable insights to support decisionmaking.
Payment Processing
Process all outgoing payments, including checks, ACH transfers, and credit card payments.
Ensure proper documentation and approval for all transactions.
Support Accounts Receivable and Financing
Assist in invoicing and followups for accounts receivables.
Coordinate with clients and financing partners to ensure timely collections.
Manage Contractor Compliance
Ensure all contractors have the necessary insurance and documentation to work for the company.
Maintain uptodate records of contractor compliance, including certificates of insurance and W9 forms.
Follow up with contractors to obtain updated documents as needed.
Qualifications
Proficiency in QuickBooks Online QBO is desired
Strong understanding of job costing, payroll, and financial reporting.
Proven experience in bookkeeping and accounting roles, preferably in the construction or home services industry.
High attention to detail and excellent organizational skills.
Ability to work independently and meet weekly deadlines.
Strong communication and problemsolving skills.
Preferred Skills
Experience with financial tools and internal reporting systems.
Familiarity with financing and accounts receivable processes.
Knowledge of tax compliance related to payroll and contractor payments.
Experience managing contractor compliance in a professional setting.
